Marmalade Trust policies

This personal data policy sets out how Marmalade Trust uses and protects any information that service users (Members) provide when engaging with Marmalade Trust services, and underlines Marmalade’s commitment to ensuring that your privacy is protected.

Information we collect

We collect personal data when you submit an application form. This can include contact details, personal information (e.g. date of birth, gender and ethnicity), referral details, health, mobility and home. ​

All health data is seen as ‘special category’ or ‘sensitive data’ under the 2018 Data Protection Act which means that it is shared and processed with particular care.

Why do we hold and process data?​

Your personal data is held and processed to:

  1. Decide whether you are eligible to take part in Marmalade Trust services - all personal data (including referrers) will be deleted after six months if you do not participate in Marmalade Trust services

  2. Match you to a suitable volunteer and location/venue (depending on the service)

  3. Keep you updated about the service

  4. Deliver services to you - for example, for Christmas Cheer, a volunteer will need your address to collect you for a Christmas event or visit you at home. For Marmalade Companions, a volunteer will need your phone number to call you

  5. Safeguard you, volunteers, and staff.

Who do we share personal data with?​

Personal data you provide is treated as confidential and handled securely. Personal data is shared with:

  • Marmalade Trust staff

  • Marmalade Trust volunteer - please note, only essential information is shared with Marmalade Trust volunteers (i.e., name, phone, address)

Marmalade Trust will not share your data with third parties or other organisations without your explicit consent.

Where is your data transferred and stored?​

Your personal data is transferred and stored on Marmalade Trust’s secure database and secure Drive. We will also transfer essential personal data (your name, contact number and address) with volunteers via email using password protected spreadsheets and/or confidential mode to keep your data secure.

How long is your personal data retained?​

Personal data is retained for six years after engaging in a Marmalade Trust service; however, you can ask for your personal data to be removed at any point. See section on how you can request for your personal data to be removed.
